How to Configure Extended Absence Greeting Using Your Phone to Record Your Greeting

Abstract:

This article explains the two-step process for scheduling extended absence greetings in ESNA voicemail. Part I covers recording the greeting, and Part II covers associating the greeting with a calendar time frame.


Instructions:

PART I: Record Extended Absence Greeting

(Skip this part if you already have an Extended Absence Greeting recorded.)

  1. Call the ESNA Voicemail System:

    • From on campus: 1-9600
    • From off campus: 850-201-9600
      When calling from off campus, enter your extension when prompted.
  2. Enter Your Voicemail Password:
    You will be placed at the Main Menu.

  3. Navigate to Greeting Options:

    • Press 4 for Mailbox Options
    • Press 1 for Greeting Options
    • Press 2 to Record your Extended Absence Greeting
  4. Record and Save Greeting:

    • Press 1 to accept
    • Press 2 to re-record
      Your greeting is now recorded, and you can hang up.

PART II: Associate Greeting with Calendar

  1. Open Firefox and Navigate to:
    esna.tsc.fl.edu

    • Select Web Access
      (Web Access allows you to manage presence by creating and modifying locations, contact numbers, and availability.)
  2. Sign in with Office 365:

    • Select Office 365
    • Enter your TSC Email address and click Next
    • Enter your TSC Password and click Sign in
    • Click Accept
  3. Schedule Extended Absence:

    • From the Main Menu, under Location, select Calendar
    • Click Schedule a Location
  4. Configure Location Settings:

    • Change location to Extended Absence
    • Set availability to Unavailable (should be automatic)
    • Enter a Name for the event (e.g., Holiday Closure 2017)
    • Choose Start and End date and specify times
      (Enable All day (24h) if needed)
    • Click Save and Close (top of the screen)

You have now successfully set your Extended Absence Greeting and can close your web browser.
